Data tool streamlines student enrollment appointment lookup for advisors

A new tool will help academic advisors at the University of Wisconsin–Madison more easily and efficiently see when the students they advise are scheduled to enroll in classes.

The Student Enrollment Appointment Institutional Data Exporter (IDE) gives advisors new ways to review their advisees’ enrollment details. Where before advisors could only look up students individually via Advising Gateway or the Student Information System (SIS), the IDE provides a way to both search for individual students and look up groups of students. For advisors who support hundreds of students, running one search instead of individual queries can be a considerable time savings.

To use the IDE, advisors can either enter the campus ID number of each student they want to look up or filter students by majors/programs. The tool will then generate a report listing the students’ enrollment appointment times. The reports can also be configured to show helpful information like which holds, if any, may prevent students from enrolling.

Already, advisors are reporting finding the tool a significant benefit. It can be found in the university’s Repository of Administrative Data and Reports (RADAR) and at this link.

This project was a collaboration between the Office of the Registrar’s Data Reporting and Eligibility and Enrollment and Residency teams, with significant contributions from Jennifer Donahoe and Katie Paar.

Spotlight: Advisor Support

The new tool is the latest in a series of projects undertaken by the Office of the Registrar to support the university’s advising community.

Last fall, a new Degree Audit Reporting System (DARS) Request Application went live, giving advisors and staff more insights into and tools to help guide their students’ academic interests. The Office of the Registrar also partnered with the Office of Advising and Career Success last year to create a webpage outlining in detail how to apply student privacy laws in an advising context.
