25Live is used by UW–Madison department/program administrative staff to request general-assignment classrooms for special events: department meetings, midterm exams, reviews, speaker events, extra meetings, video screenings, etc.
If you had an R25 WebViewer account in the past follow these steps to access 25Live in MyUW (you can also use this URL https://25live.collegenet.com/wisc):
Access 25Live via the Lumen app in MyUW:
1) Login to MyUW: https://my.wisc.edu
2) Click on the “Add more to home” link
3) Type Lumen into the search box
4) Click the “Add to Home” button in blue
5) Once you are in the Lumen app, click the “Classroom Scheduling and Reservations” widget
You will be prompted to log-in to 25Live again using your R25 Webviewer username and password (r25r00m). Please take a moment to change your password once you log in view the Preferences link on the top right of the page. Please note: all class section room assignment requests will still be done via SIS. That process has not changed.
If you did NOT have a R25 Webviewer account in the past:
Administrative staff who will be managing special-event space requests for their department/program can request authorization to use the 25Live Webviewer at go.wisc.edu/roomform. Anyone can also use the form to request View Only access to see classroom schedules.
If you are an instructor and would like to request a general-assignment classroom for a special event, please contact your department’s curricular representative.
If you are a student and would like to request a general-assignment classroom for a special event, please contact the Campus Events Services Office.
Help Icons and Support
The small question mark is located on several sections of 25Live.
Click to view more information on that section. The Icon Legend at the bottom of the page explains all of the product icons.
Click the Feedback link to email a member of the RO Curricular Services team for support at any time.
The Event Wizard can be accessed via the Create an Event link on the dashboard or the Event Wizard tab above. The wizard will guide you through the scheduling process from start to finish.
Curricular Services will assign you a room within 1 business day. You can track your requests via the Events tab at any time. You will receive an email once your requests have been reviewed.
From the dashboard, use the Quick Search or Find Available Locations sections to do a quick search for events and available locations. To narrow your search criteria, use the Events tab or Locations tab above and click on “More Search Options” to the right of the keyword search box (in blue) to view additional filters.
You can also re-visit your saved events and searches via the Pre-Defined Events Searches or Pre-Defined Location Searches tabs.
View several reports in the Reports tab and download grids, spreadsheets and calendars specific to your events and locations. Star your favorites to return to run them for each term.
